How to Make an Invoice for Freelance Work

1 September 2026InvoiceLelo

As a freelancer, your invoice is how you formally request payment for your work. Getting it right means fewer back-and-forth messages, faster payments and a more professional impression.

What to Include in a Freelance Invoice

A freelance invoice should contain the same basic elements as any professional invoice:

  • Your name (or business name if you have one) and contact details
  • Client's name and contact details
  • Invoice number (keep a running sequence)
  • Invoice date
  • What you worked on — describe it specifically
  • Hours worked or deliverables, with your rate
  • Subtotal, any applicable tax, and the total

How to Describe Your Work

Be specific. "Freelance work — October" is not useful. Instead, write something like:

  • Website design — homepage and about page
  • 10 blog posts × ₹2,000 each
  • Brand identity project — logo, colours, typography
  • Monthly social media management — September

Clear descriptions prevent confusion and make it easier for your client's accounts team to process the invoice.

Should Freelancers Charge GST?

In India, GST registration is required if your annual turnover exceeds ₹20 lakh (₹10 lakh for special category states). If you are registered, you must issue GST invoices and collect GST from your clients.

If your turnover is below the threshold, you do not need to register or charge GST. However, some clients — particularly companies — may prefer to work with GST-registered freelancers.

GST thresholds and rules can change. Check the official GST portal or consult a chartered accountant for current requirements applicable to your situation.

Setting Payment Terms

Payment terms tell the client how long they have to pay. Common options:

  • Due on receipt — payment expected immediately
  • Net 15 — payment due within 15 days
  • Net 30 — payment due within 30 days

If you have had late payment issues with a client, use shorter payment terms. Include the due date directly on the invoice.

Practical tip: Agree on payment terms before the project starts, not after. Put it in writing in a short agreement or at least in an email.

Common Freelance Invoicing Mistakes

  • Vague descriptions of work done
  • Sending the invoice to the wrong person (confirm who handles payments at the client's side)
  • Not following up when an invoice is overdue
  • Inconsistent invoice numbering — makes tracking harder
  • Forgetting to add GST when you are registered
