What Should an Invoice Include?

1 September 2026InvoiceLelo

A good invoice is clear, complete and easy to act on. Missing information leads to delays — the customer cannot pay if they do not know who to pay or how much.

Here is what every professional invoice should include.

1. Your Business Information

Start with who the invoice is from:

  • Business name or your full name (if freelancing)
  • Phone number and email address
  • Business address
  • GSTIN, if you are GST-registered
  • Business logo (optional, but makes the invoice look professional)

2. Customer Information

The "Bill To" section should include:

  • Customer's name or business name
  • Phone or email
  • Billing address
  • Customer's GSTIN if they are GST-registered and require it on the invoice

3. Invoice Number and Date

Every invoice needs a unique invoice number. This is how you and your customer track the invoice. Keep a consistent numbering system — INV-001, INV-002, etc.

The invoice date is when the invoice was issued. A due date (optional but recommended) tells the customer when payment is expected.

4. Items or Services

List each thing you are billing for:

  • Description of the product or service
  • Quantity
  • Unit price
  • Line total (quantity × price)
  • GST percentage per item, if applicable

5. Totals

  • Subtotal (sum of all line items before tax)
  • Tax amount (shown separately)
  • Total amount due (including tax)
Checklist summary: Business info · Customer info · Invoice number · Invoice date · Line items with quantity and price · Tax if applicable · Total amount due

Optional But Useful

  • Payment terms (e.g. "Due within 15 days")
  • A short thank you note at the bottom
  • Your digital signature
