Invoice vs Bill: What's the Difference?

1 September 2026InvoiceLelo

In everyday business use, "invoice" and "bill" are often used to mean the same thing — a document showing what someone owes. But there is a subtle difference in how these words are typically used, depending on who is doing the talking.

The Simple Difference

An invoice is what the seller creates and sends. It is a formal request for payment from the supplier's perspective.

A bill is what the buyer receives and needs to pay. It is the same document, viewed from the customer's perspective.

You create an invoice. Your customer receives a bill. Same document, different point of view.

Real-World Examples

When people say "invoice"

A freelancer sends their client an invoice for the month's work. A supplier sends an invoice to a retailer for a product shipment. A consultant sends an invoice after completing a project.

When people say "bill"

A restaurant brings you a bill at the end of the meal. Your electricity provider sends you a monthly bill. A plumber gives you a bill after fixing a pipe.

Notice that "bill" is more common in face-to-face or consumer situations. "Invoice" tends to be used in B2B or professional service contexts.

Does the Difference Actually Matter?

For most everyday purposes, no. Both words refer to a document requesting payment. The information on them is the same — who is owed money, for what and how much.

Where it can matter is in formal accounting or legal contexts, where "invoice" tends to be the precise term used. GST legislation in India uses "tax invoice" as the specific term.

Invoice vs Receipt

An invoice (or bill) is a request for payment — it is sent before or when the payment is due. A receipt is proof that payment has been received — it is issued after the money has been paid.

What About a Proforma Invoice?

A proforma invoice is an estimate or quote sent before the work is done. It looks like an invoice but is not a demand for payment — it is more like a preview of what the final invoice will look like. Proforma invoices are common in import/export and project work.
